The Role
The Accounting & Invoices Operator is responsible for accurate and timely booking-related invoicing, payment tracking, commission reporting, and booking reconciliation. The role supports the Sales and Reservations teams by ensuring accounting and booking information is complete, accurate, and provided on time.
The role works closely with the HQ Accounting Team, providing the information and supporting documentation required for monthly reporting, reconciliation, and accounting processes.
Key Responsibilities and Duties
Invoicing and Payment Tracking
- Act as the main Sales and Reservation liaison with the HQ Accounting Team.
- Identify, develop, implement, manage, and continuously improve accounting reporting workflows and systems in collaboration with the HQ Accounting Team.
- Prepare and issue accurate invoices for bookings in a timely manner.
- Process and coordinate invoice amendments, corrections, and supporting documentation when required.
- Track outstanding payments and follow up with customers, agents, and business partners in a professional and timely manner.
- Maintain an up-to-date overdue-payment report and escalate overdue or complex payment matters to the Senior Sales Manager and relevant internal teams.
- Respond to invoice, payment, and billing-related enquiries from customers, agents, business partners, and internal teams.
Commission and Booking Reconciliation
- Prepare monthly referral and commission reports, ensuring commission amounts are checked against confirmed bookings and agreed commercial terms.
- Maintain accurate records of referral partners, commission agreements, commission payments, and outstanding commission matters.
- Reconcile booking information, invoices, payments, and commission records, identifying discrepancies and following up with the relevant teams.
- Provide accurate booking and payment information required for monthly sales reporting and accounting reconciliation.
Finance and Internal Coordination
- Work closely with the HQ Accounting Team and provide requested reports, data, and supporting documentation within agreed deadlines.
- Support month-end reporting and reconciliation processes by preparing complete, accurate, and well-organised information.
- Identify missing information, discrepancies, or process issues that may affect invoicing, payment collection, commissions, or reconciliation, and escalate them promptly.
- Maintain clear communication with the Senior Sales Manager, Sales & Reservations Executive, Partnership Coordinator, Reservations Assistants, and HQ Accounting Team
- Follow Company financial procedures, approval processes, data-protection requirements, and record-retention standards.
- Perform any other duties or tasks as reasonably required to support the business and operational needs of the Company.
What you need to succeed:
- Strong attention to detail, numerical accuracy, and organisational skills.
- Experience in invoicing, accounts receivable, finance administration, booking reconciliation, or a related administrative role.
- Highly skilled in Excel.
- Ability to manage recurring monthly deadlines and high volumes of invoices during peak periods.
- Strong problem-solving skills and the ability to identify and follow up on discrepancies.
- Clear and professional written and verbal communication skills.
- Professional English communication skills;
- Experience in travel, tourism, hospitality, accommodation, or reservation systems is an advantage.
- Ability to handle confidential financial and customer information appropriately.
